Associate Director of Experiential Creative: Build Worlds at Filoli!
Are you a visionary designer who believes atmosphere, storytelling, and scenic details can transform a visit into a lasting memory? Filoli, a renowned 654-acre historic estate, is seeking a creative leader to design and shape the next generation of our signature seasonal experiences. Please note that this is a role to create and implement guest experiences and not just an opportunity for graphic design.

What You'll Be Doing
Creative Concepting and Design
- Ideation to Blueprint: Produce early-stage assets, including hand sketches, digital concept art, and mood boards, and translate them into clear, buildable designs (using SketchUp, CAD, or similar tools) for fabrication.
- Visual Language: Define the color palettes, scenic approaches, material choices, and environmental storytelling for each major experience.
- Horticultural Integration: Partner with Horticulture and Facilities to seamlessly integrate creative elements into historic spaces and gardens.
Cross-Functional Collaboration & Production
- Internal Partner: Serve as the central creative consultant for teams across the estate (Marketing, Events, Retail), ensuring a cohesive visual presentation at every guest touchpoint.
- Vendor Oversight: Prepare visual packets and renderings for bids, review samples and prototypes, and provide hands-on creative guidance during onsite installation and strike periods.

Seeking Creative Designer (Digital+Print) — Come Tell Filoli's Story!

Digital Marketing Specialist: Drive Visitation & Tell Filoli’s Story Online!
Are you a tactical digital operator who thrives on getting the details right? Filoli, a renowned 654-acre historic estate, is seeking a Digital Marketing Specialist to be the hands-on engine for our primary digital channels—ensuring our inspiring story reaches half a million visitors and drives crucial revenue.

Your Mission: Execute, Optimize, and Convert
Reporting to the Marketing & Digital Manager, you are responsible for the daily deployment, maintenance, and optimization of content across our website, email, organic search, and paid media platforms. This is an operational role that directly impacts visitation, ticket sales and audience growth.
You will be responsible for:

Email & Web Execution: Build and deploy promotional campaigns and regular communications using Constant Contact. You will be the point person for accurate and timely updates across our website using WordPress (BBWP), collaborating closely with all departments to ensure content is current, compelling, and conversion-focused. Support email list growth, segmentation, and lifecycle messaging to improve engagement, conversion, and retention.

SEO & Discoverability: Own core on-page and local SEO fundamentals across the Filoli website, including page titles, meta descriptions, headers, internal linking, and content optimization. Partner with internal teams to ensure key event, seasonal, and visitation pages are optimized for organic search visibility and inclusion in AI-powered search results. Maintain and optimize Filoli’s Google Business Profile, reviews, and local listings to ensure accuracy, visibility, and strong local search performance.

Paid Media Operations: Execute campaign uploads and manage meticulous tagging and tracking across all digital advertising platforms to ensure accurate reporting of ROAS and ROI. Support creative testing, audience refinements, and budget pacing in partnership with the Marketing & Digital Manager to improve campaign efficiency and performance.

Content Creation: Use Adobe Creative Suite (Photoshop, Premiere Pro) to quickly create, resize, and version digital creative assets for the website, email, and paid media—ensuring all visuals adhere to Filoli’s brand standards.

Optimization & Data: Partner with the manager to test and optimize performance across all channels. Maintain and monitor conversion tracking across website, email, and paid media, including ticket purchases, memberships, donations, and sign-ups. Use Google Analytics, Google Tag Manager, and platform reporting tools to analyze performance and inform continuous improvement. Prepare clear weekly and monthly performance reports tied to visitation, revenue, and audience growth.

Digital Consistency: Ensure Filoli’s presence across external digital listings, platforms, and directories remains accurate, consistent, and up to date.

THE OPPORTUNITY
As our Director of Facilities, you play a starring role in bringing our 2024–2028 Strategic Plan to life. You are the guardian of our historic and modern structures, ensuring that every guest who walks through our gates feels safe, welcomed, and inspired. From supporting a major capital campaign to overseeing the logistics of our vibrant community events, your work will ensure that Filoli remains a beautiful, sustainable sanctuary for generations to come.
This is a full-time, flexibly scheduled position, working on-site of a beautiful historic house, garden and natural lands. Depending on candidate experience, the salary range is $148,000 to $170,000. This position also is eligible for employee benefits: medical, dental, vision, life, LTD, Flex Plan, 401(k) (eligible 1st of the month following the date of hire), vacation, sick leave, and holiday pay. This position requires a flexible schedule that includes evenings and/or weekends for public events.
KEY RESPONSIBILITIES
Facilities Operations & Strategic Management
- Direct all maintenance, repair, and preservation activities for historic and modern structures.
- Manage the Facilities Department budget, annual operating plans, and long-term infrastructure goals.
- Oversee external and internal event logistics (setup/breakdown) to ensure an outstanding guest experience.
- Manage contractual relationships with vendors and partners.
- Maintain estate infrastructure, including roads, telephone systems, and technology hardware.
Safety, Security & Compliance
- Lead the safety and protection of Filoli’s collections, guests, staff, and property.
- Oversee contracted security services and the functioning of all alarm and safety systems.
- Act as the lead for the Emergency Response Team, ensuring OSHA compliance and regular preparedness training.
- Manage space allocation and staff relocations to improve office health and safety.
Leadership & People Management
- Directly manage the Facilities Manager and Maintenance Manager; provide indirect leadership to the broader facilities team.
- Foster cross-departmental collaboration, particularly with Horticulture, Collections, and Guest Experience.
- Represent Filoli’s facility interests in fundraising efforts and professional conferences.
QUALIFICATIONS
- Experience: 8–10 years in building or property management (experience with historic structures or museums highly preferred); at least 5 years of supervisory experience.
- Education: Bachelor’s degree in Facilities Management, Construction Management, Engineering, or a related field (or equivalent experience).
- Technical Skills: Proficiency in CMMS software, Microsoft Office, and Google Workspace. Trade certifications (HVAC, Electrical, Plumbing) are a significant plus.
- Soft Skills: A decisive nature with the ability to solve complex problems in a high-pressure, guest-facing environment.
- Cultural Competence: A deep commitment to Diversity, Equity, Access, and Inclusion (DEAI) and the ability to lead with an equity lens.
- Requirements: Must possess a valid Driver’s License and the ability to lift up to 60 lbs. and navigate uneven terrain.

In this role, you’re more than just a maintenance worker—you are a steward of history. You’ll be the behind-the-scenes hero making sure our world-class events run smoothly and our historic estate stays in tip-top shape for our visitors.
What Your Days Will Look Like
Every day at Filoli is a little different! You’ll jump between event prep, logistics, and keeping the property running:
- Setting the Stage: You’ll be the muscle behind our weddings, festivals, and galas—setting up tables, moving furniture, and hanging lights to create magical moments for our guests.
- Estate Caretaker: Help out with "fix-it" projects like painting, basic carpentry, clearing a clogged drain, or changing out HVAC filters. It’s a great way to learn a little bit of everything!
- The Logistics Pro: You’ll handle the incoming deliveries (everything from garden fountains to gift shop treasures), manage recycling, and keep the grounds clean and safe for everyone.
- Into the Great Outdoors: You’ll get to help with seasonal fieldwork like brush clearing and mowing, ensuring the 654-acre estate looks its absolute best.
What We’re Looking For
- A Little Experience: You have 1–3 years of experience in building or property maintenance. If you know your way around a toolbox or have done some basic plumbing or carpentry, you’re off to a great start!
- Energy & Attitude: You’re a self-starter who stays calm under pressure and loves solving problems.
- Physical Strength: You’re comfortable being on your feet, climbing ladders, and walking across uneven terrain. You should be able to lift and carry up to 60 lbs.
- Tech-Friendly: You can use a computer for basic emails and checking your schedule/work orders.
- The Basics: You have a high school diploma (or GED), a valid Driver’s License, and the flexibility to work weekends to support our busy event season.

A Day in Your Life: Filoli’s People Development Manager
Imagine starting your morning facilitating a leadership development workshop in the Ballroom, where Filoli's managers practice coaching conversations using the SDI Core Strengths methodology. After lunch on the terrace overlooking the historic gardens, you're crafting the monthly P&C newsletter—turning policy updates into engaging stories that staff actually want to read.
In the afternoon, you're meeting with a new department head to customize their team's onboarding plan, then jumping into Monday.com to track progress on three simultaneous projects: the annual performance review rollout, a guest service training series, and planning our spring employee engagement event. You'll close the day analyzing survey data from last month's new hire cohort, identifying what's working and what needs refinement.
You'll work independently while staying closely connected to our collaborative 5-person P&C team. Some days you're deep in strategy and planning; others you're energizing a room of 30 staff members during an all-hands training.
